Piver Freight Privacy Policy

Who we are
Piver Inc. (US) and Piver Freight Ghana Ltd. (together, “Piver Freight,” “we,” “us,” or “our”) operate a digital logistics marketplace that connects consignors (shippers), freight forwarders and carriers, customs brokers, consignees, and insurance brokers (collectively, “Participants”).
This Privacy Policy explains how we collect, use, share, and protect personal information when you use our websites, mobile apps, APIs, and related services (the “Services”).
Short version: We use personal information to operate the marketplace (match and coordinate shipments), comply with law, keep the platform safe, support users, and improve the product. You control certain uses of your information, and you have rights that depend on where you live.
1. Scope & Roles
This Policy applies to all individuals who access or use the Services anywhere we operate. Our initial test markets are the United States and Ghana, with global expansion anticipated.
We act as a data controller (or equivalent under local law) for information we process to run the platform. In some cases, we act as a processor for enterprise customers or regulated partners where we handle data on their instructions (e.g., embedded customs workflows, insurance placement, or carrier integrations).
Participant roles on Piver Freight include (examples):
- Consignors / Shippers and Consignees
- Freight Forwarders / Carriers (including trucking, air, ocean, and rail partners)
- Customs Brokers
- Insurance Brokers / Underwriters
Data we share among Participants is limited to what is reasonably necessary to arrange, execute, audit, insure, clear, deliver, and support shipments or related services.
2. Information We Collect
We collect information from three sources:(a) you provide it, (b) we collect it automatically when you use the Services, and (c) we obtain it from third parties. Example include:
A. Information you provide
- Account & profile: name, company, role, email, phone, password, profile photo, preferences.
- Business credentials & verification: government IDs (where lawful/necessary), company registration numbers, tax IDs, licenses (e.g., customs broker license), proof of authority, sanctions-screening confirmations.
- Shipment & trade documents: purchase orders, commercial invoices, packing lists, HS codes, values, bills of lading/air waybills, container IDs, cargo photos, certificates, import/export permits, delivery instructions.
- Payment & billing: payment tokens, invoicing details, payout information for carriers/partners, transaction records.
- Support & feedback: messages to support, ratings/reviews, incident reports, claims, survey responses.
B. Information collected automatically
- Location data: pickup/drop-off addresses; optional precise geolocation if you enable it (e.g., live tracking, ETA, route optimization).
- Device & usage: IP address, device identifiers, app version, browser type, crash logs, pages/screens viewed, interactions with features.
- Communications metadata: timestamps and routing of calls/messages placed through in-app communications; we may capture audio or text content where you consent or where permitted by law (e.g., safety or quality-assurance recordings).
- Cookies & similar tech: described in the Cookies section below.
C. Information from third parties
- Verification & risk partners: identity/KYC vendors, sanctions and watchlist screeners, address/phone validation, fraud detection services.
- Logistics & maps: telematics, mapping/geocoding and traffic providers, label and tracking service providers.
- Payment processors & financial partners: payment networks, acquiring banks, payout platforms.
- Participants and enterprise customers: people who invite you to collaborate, counterparties who provide your contact or delivery details.
Sensitive IDs & compliance: Where required by law (e.g., export control, customs, safety/security) we may process government IDs or licensing data to verify identity/authority, prevent fraud, and comply with sanctions and trade regulations.
3. How We Use Information

Provide and improve the Services: Create and manage accounts; match shippers with forwarders/brokers; plan routes; calculate estimates; orchestrate bookings; generate labels and documents; track shipments; surface ETAs and exceptions; personalize dashboards.

Enable communications: In-app chat/call between Participants; notifications about pickups, holds, clearances, deliveries, claims, and billing.

Safety, security, and integrity: Verify identities and authorities; authenticate accounts and devices; prevent, detect, and investigate fraud, cargo theft, abuse, spam, and prohibited uses; protect the platform and our users.

Compliance & legal: Perform KYC/sanctions screening; meet customs, tax, transport, and insurance obligations; maintain records; respond to lawful requests and legal claims.

Payments & finance: Process charges, payouts, refunds, and adjustments; prevent payment fraud; manage invoices and receivables.

Customer support: Investigate and resolve issues; train and improve support; manage claims and disputes.

Research & product development: Analyze usage to improve reliability, routing, pricing, and user experience; train models and build new features; use de-identified or aggregated data where feasible.

Marketing & communications: Send service, policy, and transactional messages. We may send product updates or offers; where required, we will obtain consent and you can opt out at any time.
Automated decision-making: To run a high-volume marketplace, we use algorithms (and, in some cases, machine learning) to match Participants, estimate time/cost, detect fraud, or flag risky transactions. You may contact us to request more information or, where required by law, to request human review of decisions that significantly affect you.
4. When We Share Information

With other Participants: limited to what’s needed to arrange and complete shipments (e.g., names, business contact info, pickup/delivery details, compliance docs, status updates, and proof of delivery).

With service providers: hosting, storage, security, analytics, identity/KYC, sanctions screening, telematics/mapping, communications, customer support, and payment processing. They must use data only on our instructions.

With insurance brokers/underwriters and claims administrators: to place coverage, manage certificates, and handle claims.

With enterprise customers & integrations: when you link accounts or use enterprise features (e.g., ERP/TMS, accounting, carrier portals), we share per your settings/instructions.

With affiliates and corporate transactions: within our corporate group; or in mergers, acquisitions, financing, or sale of assets (subject to confidentiality and applicable law).

For legal reasons: to comply with law, enforce terms, protect rights, safety, cargo, or the platform; to respond to lawful requests from authorities.

With your consent: or at your direction.
We do not sell personal information as “sell” is defined by many US state privacy laws. We may share limited identifiers with advertising/analytics partners to measure marketing effectiveness; you can opt out of such “sharing” where applicable (see Your Choices & Rights).
5. Cookies & Similar Technologies
We use cookies, SDKs, and similar technologies to operate and secure the Services, remember preferences, analyze usage, and (where permitted) measure the effectiveness of our outreach. You can manage cookies in your browser/app settings and via our in-product controls where available. If you enable a recognized Global Privacy Control (GPC) signal, we will treat it as a request to opt out of cross-context behavioral advertising where required by law.
6. Data Retention
We keep personal information only as long as necessary for the purposes above, including to comply with legal, tax, customs, transport, and insurance obligations, resolve disputes, and enforce agreements. For example, shipment and billing records are commonly retained for multiple years under applicable law. When no longer needed, we delete or de-identify data per our retention schedule.
7. International Data Transfers
We operate globally. Your information may be processed in the United States, Ghana, and other countries. Where required, we use lawful transfer mechanisms and safeguards (e.g., contractual clauses) to protect your information. Our protections apply regardless of where data is processed, and we restrict access on a need-to-know basis.
8. Your Choices & Rights
Controls
- Location services: enable/disable precise location in your device settings (some features may be limited if disabled).
- Notifications: control push/email preferences in the app and email footers.
- Marketing choices: opt out of marketing at any time (we’ll still send transactional messages).
- Linked apps: review and revoke third-party integrations in your settings.
Rights (depending on your location)
- Access / portability: get a copy of the personal information we hold about you.
- Correction: update inaccurate or incomplete information.
- Deletion: request deletion, subject to legal/operational exceptions (e.g., shipment records).
- Restriction / objection: request that we limit or stop certain processing.
- Opt-out of targeted ads / “sharing” of personal information: in applicable US states, you can opt out via in-app/web controls or by sending a recognized GPC signal.
- Appeal: if we decline your request, you may appeal by replying to our decision notice.
Region-specific notes: United States (state laws such as CA/VA/CO/CT/UT): You may have the rights listed above; you also have the right to know categories of data collected, sources, purposes, categories of recipients, and retention criteria. We do not sell personal information. We may share limited identifiers for advertising measurement; you can opt out. Ghana (Data Protection Act, 2012 (Act 843)): You may request access, rectification, blocking, erasure, and object to processing in certain cases. You may lodge a complaint with the Data Protection Commission (DPC). EEA/UK/Switzerland (if/when we operate there): We rely on legal bases such as contract, legitimate interests (e.g., safety, fraud prevention), legal obligation, and consent (where required). You may contact our EU/UK representative or Data Protection Officer when appointed.
9. Security
We apply administrative, technical, and physical safeguards appropriate to the nature of the data, including encryption in transit, least-privilege access controls, monitoring, and employee training. No system is perfectly secure; please use unique, strong passwords, keep your credentials confidential, and tell us immediately if you suspect unauthorized activity.
10. Children’s Privacy
Our Services are for business users in the logistics supply chain and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will take appropriate steps.
11. Changes to This Policy
- Changes to This Policy We may update this Policy to reflect changes in our Services or laws. If we make material changes, we will provide notice (e.g., in-app, by email) and indicate the new effective date. Your continued use after the effective date means you accept the updated Policy.

13. Key Definitions
- Personal information / personal data: information that identifies or can be reasonably linked to an individual.
- Processing: any operation performed on personal information (e.g., collecting, storing, using, sharing, deleting).
- Controller / Processor: roles defined by privacy laws describing who decides the purposes of processing (controller) and who processes on another’s instructions (processor).
This document is a product-design and communications draft and is not legal advice. Please consult counsel to finalize jurisdiction-specific disclosures (e.g., state privacy notices, DPA addenda, international data transfer mechanisms), set effective dates, and validate retention periods.
Appendix A — U.S. State Privacy Notice (CA, VA, CO, CT, UT)
Applicability. This Appendix applies to residents of certain U.S. states (currently California, Virginia, Colorado, Connecticut, and Utah). It supplements the main Privacy Policy. Where there is a conflict, this Appendix controls for covered residents.
A1. Personal Information We Collect (by category)
- Identifiers (name, business contact info, device IDs, IP address, account IDs).
- Customer records / commercial information (transaction history, bookings, invoices, payouts, claims).
- Geolocation (approximate location from IP; precise location only if you enable it for live tracking/ETA).
- Internet / electronic activity (app and site interactions, logs, diagnostics).
- Professional / employment (company, role, licenses or broker numbers where required).
- Audio/visual (support call recordings or images you upload, where permitted by law/consent).
- Inferences drawn from the above to improve safety, routing, or product experience (e.g., preferred lanes); we do not use sensitive data to infer characteristics.
- Sensitive personal information (only where needed): government IDs/licensing data for KYC/compliance; payment tokens (handled by payment partners); precise location if you enable it. We use sensitive data only for necessary, permitted purposes (security, identity verification, service provision, legal compliance) and do not use or disclose it to infer characteristics.
Sources: You, your company, other Participants, service providers, analytics/telematics partners, and public sources.
Purposes: Provide/improve Services; facilitate shipments; safety/security/fraud prevention; compliance; payments; support; R&D; limited marketing (with opt-outs).
Recipients: Other Participants in the same shipment; service providers; payment/financial partners; insurance partners; enterprise integrations; affiliates; lawful authorities.
Retention: We retain data as long as needed for the purposes above and legal obligations, then delete or de-identify it.
A2. “Selling,” “Sharing,” and Targeted Advertising
We do not sell personal information for money. We may share limited identifiers with advertising/analytics partners to measure campaigns—this may be considered “sharing” (CA) or “targeted advertising” (VA/CO/CT/UT). You can opt out via the in-app/web privacy preferences, and we respect Global Privacy Control (GPC) signals where required. California residents may also limit the use of sensitive personal information, though we already restrict sensitive PI to necessary uses. We do not have actual knowledge of selling or sharing the personal information of consumers under 16.
A3. Your State Privacy Rights
Depending on your state, you may have the right to know/access, correct, delete, data portability, and opt out of sale/sharing/targeted advertising and certain profiling. California residents may also limit the use/disclosure of sensitive personal information.
How to exercise your rights: Use the in-app/web Privacy Center or email privacy@piverfreight.com. We will verify your request (and your authority if you are an agent) and respond within the period required by law. If we decline, you may appeal; Colorado/Virginia/Connecticut residents may contact their Attorney General if unsatisfied.
Non-discrimination: We will not discriminate against you for exercising your rights.
Automated decision-making & Financial incentives
Automated decision-making: We use automated tools to match Participants, estimate time/cost, and detect fraud. You may request more information and, where required, a human review of decisions that significantly affect you.
Financial incentives: We do not offer programs that provide price/service differences in exchange for personal information. If this changes, we will provide required notices and obtain consent.
Notice at collection: The main Privacy Policy and this Appendix describe the categories, purposes, and retention criteria for data we collect.
Appendix B — Ghana Privacy Statement (Data Protection Act, 2012 (Act 843))
Controllers: Piver Freight Ghana Ltd. and, where relevant, Piver Inc. act as data controllers for personal data processed to operate the Services in Ghana.
Lawful bases: contract (to provide Services), legitimate interests (e.g., platform security, fraud prevention, service improvement), legal obligation (e.g., customs, tax, sanctions, transport and insurance laws), and consent where required (e.g., certain marketing or precise location tracking).
Your rights: Under Act 843, you may request access, rectification, erasure, blocking, and may object to processing in certain cases. You can exercise these rights via the in-app Privacy Center or privacy.gh@piverfreight.com. We will verify your identity and respond within statutory timelines.
International transfers: We may transfer data outside Ghana (e.g., to the U.S. or other countries where we and our service providers operate). We use contractual safeguards and limit access to those with a need to know.
Security & retention: We apply appropriate administrative, technical, and physical measures to protect personal data. We retain records as required for regulatory and operational purposes and then delete or de-identify them.
Complaints: If you are unsatisfied with our response, you may lodge a complaint with the Ghana Data Protection Commission (DPC).
